Refund and Dispute Policy

What you are paying for

You are paying a dispatch fee for services already performed: finding the load, negotiating the rate, submitting your carrier packet, coordinating the pickup and delivery, and invoicing the broker.

Because these are services, not goods, there is nothing to return. This policy explains when we will correct or refund a charge.

When we will correct or refund a charge

We will issue a full or partial refund, or a credit on your next invoice, in these situations:

Billing errors. We charged the wrong percentage, billed a load twice, billed a load that was not ours, or made an arithmetic mistake. Refunded in full, no questions asked.

Load cancelled before dispatch. If the load is cancelled before you are dispatched and no work was performed on your behalf, we do not charge a fee. If we already charged one, we refund it.

Duplicate payment. You paid the same invoice twice, or an ACH debit was submitted twice. Refunded in full.

Service we failed to perform. We billed for a load we did not actually dispatch or coordinate. Refunded in full.

When we will not refund

The broker paid you late, short, or not at all. Our fee is earned when the load is dispatched, and broker non-payment is separate from our service. We will help you pursue the broker, but the dispatch fee stands.
The load lost money for you, or the rate turned out worse than expected after fuel, tolls, or deadhead. You approved the rate confirmation before the load was booked.
Detention, layover, or TONU were denied by the broker.
You cancelled the load after being dispatched.
Cargo claims, damage, or service failures on your end.

How to raise a billing dispute

Email info@grupo-gibbor.com with:

The invoice number
The load reference number, if it applies
What you believe is wrong and what you think the correct amount is

We will acknowledge within two (2) business days and give you a decision within ten (10) business days.

Please raise disputes within thirty (30) days of the invoice date. After that we may not be able to correct it, since the underlying broker records may already be closed.

While a dispute is open

If you dispute part of an invoice, pay the undisputed part and we will hold the disputed part. We will not suspend your service over an amount that is genuinely in dispute and being reviewed in good faith.

How refunds are issued

Refunds go back to the original payment method.

ACH debit: returned to the same bank account, normally within five (5) to ten (10) business days
Bank transfer you sent us: returned to the account it came from
Credit on account: applied to your next invoice, if you prefer

Before you call your bank

If something looks wrong, please contact us first. An ACH return or bank dispute costs us both time and can suspend your account automatically while it is investigated. Almost every billing problem is solved faster by email.

If you do dispute a charge with your bank, we will provide the invoice, the signed rate confirmations, and your ACH authorization as evidence.
